Taken virtually - any time, any place

The Penn Medicine Marketing department has partnered with Capturely, a mobile app photography service, to obtain professional headshots of our providers for marketing and patient engagement purposes. Only headshots taken through Capturely will be used in marketing materials to ensure consistency with brand standards and photo specifications.

Having your headshot taken virtually is convenient and only takes 10 minutes using the Capturely app on your smartphone. A professional photographer will guide you, remotely, to take studio-quality photos. Learn how to schedule and prepare for your virtual photo shoot, below.

1 Download the Capturely app on the smartphone (iPhone or Android) that you will use for your virtual headshot session.

2Open the Capturely app to find your Session ID #.

3If you have been issued a Penn ID #, have it handy. (This information ensures photos are linked to the correct person in the database.)

4Go to the Capturely scheduling form to select a day and time that is convenient for you.

5Once you’ve picked a time slot, you’ll be asked to enter your contact information, role within Penn Medicine, session ID # and Penn ID #.

6Review and accept the Terms & Conditions.

Note: You may reschedule or cancel up until your session time. After that, Penn Medicine will be charged for any no-shows.

What to wear

  • These headshots represent you in your professional capacity as an employee or associate of Penn Medicine. Please dress in appropriate business attire (suits, blazers, long-sleeved shirts with a collar, blouses, dresses or sweaters) for your photo shoot.
  • Wearing shades of blue or red is encouraged. Healthcare providers who see patients in a clinical setting should wear a buttoned white lab coat over their business attire.
  • Keep jewelry and accessories minimal and avoid wearing decorative scarves.
  • Clothing and lab coats should be clean and wrinkle-free; remove any badges, lanyards, or pins.

Note: If you do not have a Penn Medicine-issued white lab coat you may wear any white lab coat, as any logos shown will be edited out of the photo. If you do not have a white lab coat and normally would wear one, please wait to schedule your session until you get one.

Choosing a location for your virtual photo shoot

  • Indoors within a room or hallway with a window that lets in ample natural light.
  • The background should contrast your hair color.
  • You will need to use a window ledge, table or other surface to stand up your smartphone, if you are unable to find someone to hold it during the photo shoot.

Setting up your smartphone

  • Your phone should be positioned at eye-level and in front of the window. If possible, get a friend or colleague to hold your phone up and steady during the shoot. See the FAQs for ways to prop up your phone.
  • Have a fast, reliable Internet connection or use data.
  • Charge your phone to at least 50%.
  • Close all apps to maximize your phone’s performance.
  • Open the Capturely app.
  • Allow necessary permissions to connect with your photographer.

Your photographer will provide additional guidance during your session.

Once you begin your session through the Capturely app, your photographer will join you momentarily.

The photographer will instruct you on how to position yourself to take the most flattering photos. Several photos will be taken during your session, but the best three images will be edited according to Penn Medicine’s specifications and requirements.

Editing and retouching photos

  • Capturely edits headshots to include Penn Medicine’s specified background.
  • Photos are cropped and sized for digital and print use.
  • Basic retouching will be applied to all photos.

Reviewing and approving your headshots

  • Your headshots will be ready within 24 hours. You’ll be notified by email with a link to the image files.
  • If you are satisfied with them, select approved.
  • If additional retouching is needed, you may request it at this stage.
  • If you do not submit a response either way within 5 days, the photos will be sent to Penn Medicine’s marketing headshot team to review and approve on your behalf.
